How to connect Pebb to QuickBooks Online and export payroll hours

Pebb’s QuickBooks Online integration lets you send approved employee hours directly from Pebb to QuickBooks, helping you prepare payroll without manually copying timesheets.

You can export hours from:

  • Clock-in sessions

  • Accepted shifts

  • Both sources

Note: Pebb exports employee hours to QuickBooks Online. Payroll review and paycheck processing are still completed inside QuickBooks.


Before you begin

Before connecting the integration, make sure that:

  • Your employees have already been added as employees in QuickBooks Online.

  • Your QuickBooks Online plan supports the Track time feature. This is available on supported QuickBooks plans such as Essentials, Plus, and Advanced.

  • Copy hours from employee time sheets is enabled in your QuickBooks Payroll Settings.

  • You have access to both your Pebb organization settings and your company’s QuickBooks Online account.

Only one QuickBooks Online connection is required for the entire Pebb organization.


Connect Pebb to QuickBooks Online

Step 1: Open the integration

  1. From Pebb, open Settings.

  2. Select the Integrations tab.

  3. Under Payroll, click QuickBooks Online.


Step 2: Connect your QuickBooks company

Click Connect to QuickBooks.

You’ll be redirected to QuickBooks, where you can:

  1. Sign in to your QuickBooks account.

  2. Select the company you want to connect.

  3. Approve the connection with Pebb.

After approving the connection, you’ll return to Pebb to complete the setup.


Step 3: Match your employees

Pebb needs to know which Pebb member belongs to which QuickBooks employee.

Pebb will automatically try to match employees using their email addresses and names. Review every suggested match before continuing.

For each Pebb member:

  • Select the corresponding QuickBooks employee.

  • Turn on Skip when you don’t want that member’s hours exported.

Every member must either be matched or skipped before you can continue.

When you’re finished, click Save & continue.

Tip: Using the same employee email address in Pebb and QuickBooks makes automatic matching easier.


Step 4: Select a default QuickBooks item

Select the default QuickBooks item that should be associated with hours exported from Pebb.

This item will be applied to the time activities Pebb creates in QuickBooks.

After selecting the appropriate item, continue to the final setup step.


Step 5: Complete the QuickBooks checklist

Before finishing, confirm that both required QuickBooks settings are enabled:

  • Your QuickBooks plan has Track time enabled.

  • In QuickBooks Payroll Settings, Copy hours from employee time sheets is turned on.

These settings are important because exported hours may appear in QuickBooks reports but may not be included when preparing paychecks if payroll is not configured to copy employee timesheet hours.

Check both boxes and click Finish.


Export payroll hours to QuickBooks

After completing the integration setup, you can export employee hours from Pebb’s Payroll page.

Step 1: Open Payroll

  1. Open Settings.

  2. Select Payroll.


Step 2: Select a pay period

Use the Pay period menu to choose the date range you want to review and export.

Make sure the selected pay period matches the payroll period you plan to process in QuickBooks.


Step 3: Choose which hours to export

Under Hours to export, select one or both of the available sources:

Clock-in sessions

Includes hours recorded through Pebb’s time clock.

Accepted shifts

Includes hours from shifts accepted by employees.

Select the sources that match the way your organization tracks payable working hours.


Step 4: Approve employee hours

Review each employee’s worked hours and use the toggle in the Approved column to approve them.

You can also click Approve all with hours to approve everyone who has recorded hours in the selected pay period.

Only approved hours should be included in the payroll export.


Step 5: Lock the pay period

Once all hours have been reviewed and approved, click Lock period.

The Export to QuickBooks button becomes available after the period is locked.


Step 6: Export to QuickBooks

Click Export to QuickBooks to send the approved hours to your connected QuickBooks Online company.

After the export is completed, review the transferred hours inside QuickBooks before processing payroll.


Verify the export in QuickBooks

After your first export, we recommend checking the results in QuickBooks using the:

Time Activities by Employee Detail report

To find it:

  1. Open Reports in QuickBooks.

  2. Select Standard reports.

  3. Search for Time Activities by Employee Detail.

  4. Set the report’s date range to match the pay period exported from Pebb.

QuickBooks lists this report among its available payroll and employee time reports.


Make corrections and export again

When you need to correct something after exporting:

  1. Return to the Payroll page in Pebb.

  2. Unlock the pay period.

  3. Adjust or review the relevant hours.

  4. Approve the updated hours.

  5. Lock the period again.

  6. Export it to QuickBooks again.

Pebb allows you to unlock, adjust, and re-export a pay period when necessary.


Update employee matches or integration settings

When you add new employees to Pebb or QuickBooks, you may need to update the employee matching.

From the Payroll page, click the settings icon next to the pay-period selector to reopen the QuickBooks integration setup.

Review the employee matches and make sure every new member is either:

  • Matched to a QuickBooks employee, or

  • Marked as Skip


Frequently asked questions

Why is the Export to QuickBooks button unavailable?

Make sure that:

  • The QuickBooks integration setup has been completed.

  • The selected employees have approved hours.

  • The pay period has been locked.

  • At least one hour source is selected.

  • Every Pebb member has been matched or skipped.


What happens to members marked as Skip?

Their hours will not be included in QuickBooks exports. You can return to the integration settings later and match them when needed.


Can I export clock-in sessions and accepted shifts?

Yes. You can select clock-in sessions, accepted shifts, or both from the Payroll page.


Does Pebb process payroll in QuickBooks?

No. Pebb transfers approved employee hours to QuickBooks. You’ll still review the imported hours and complete the payroll process inside QuickBooks.


Where can I find the exported hours?

Open the Time Activities by Employee Detail report in QuickBooks and filter it using the relevant pay-period dates.


What should I do after adding a new employee?

Open the QuickBooks integration settings from Pebb’s Payroll page and match the new Pebb member to their QuickBooks employee record before the next export.
