Clock In in Pebb: Employee Time Tracking, Sessions, Breaks, Location, and Timesheet Reports
Pebb’s Clock In feature helps teams track employee working time with simple clock-in sessions. Employees can start and end their work sessions from Pebb, while managers can review session history, check total work time, track break time, create or edit sessions manually, capture locations, and download timesheet reports.
Clock In is available on both the web app and the Pebb mobile app, so employees can clock in from wherever they work — at a store, hotel, restaurant, warehouse, construction site, office, or branch location.
Like other Pebb features, Clock In lives inside a Space. This means every Space can have its own clock-in setup, members, permissions, and location rules.
For example, a company can create one Space for the New York branch, another Space for the Boston branch, and another Space for Everyone. If Clock In is enabled only inside the New York Space, then that Space can track time for the New York team without mixing it with other locations.
What is Clock In used for?
Clock In is used to track when employees start work, when they finish work, how long they worked, how much break time they took, and where the session happened.
It is useful for teams that need a clear record of working hours, especially when employees are not sitting at the same desk every day.
A retail store can use Clock In to track when cashiers, floor staff, and stockroom workers begin and end their shifts.
A restaurant can use it to track servers, chefs, hosts, bartenders, and cleaning staff across morning, lunch, dinner, and closing shifts.
A hotel can use it for front desk employees, housekeeping, maintenance, security, and food and beverage teams.
A construction company can use it to track who started work at a specific job site and when they left.
A warehouse can use it to track loading crews, forklift operators, inventory teams, and night shifts.
Clock In gives managers a cleaner way to review real working time instead of relying on paper timesheets, manual messages, or scattered spreadsheets.
How Clock In works inside Spaces
Clock In belongs to the Space where it is enabled.
A Space is a group of people with specific features turned on. One Space might include Clock In, Shifts, Chat, and Forms. Another Space might include only News Feed and Wiki. This lets each location, department, branch, or project use the tools it actually needs.
For example:
A restaurant group can create a Space for each restaurant location and enable Clock In for each team.
A hotel can create Spaces for Housekeeping, Front Desk, and Maintenance, each with its own time tracking.
A construction company can create a Space for every active job site, so workers clock in from the correct place.
A retail company can create a Space for each store branch and keep each branch’s time records separate.
This structure keeps time tracking organized and makes reports easier to understand.
Main Clock In screen
The main Clock In screen is where employees start or end their clock session and where managers review time tracking data.
The screen includes:
A large clock button
A summary section
A member selector
A date range selector
Session history
Create session
Timesheets report
Refresh
Session actions
Clockin settings
Start Clock button
The large blue Start clock button is used to start a new clock-in session.
When an employee is not currently clocked in, the button appears as Start clock.
After the employee starts a session, the button changes to a red End clock button and shows a live timer.
This makes it very clear whether the employee is currently clocked in or not.
End Clock button
When a session is already running, the button changes to End clock.
The red timer shows how long the current session has been running.
For example:
00:00:07
End clock
A red “Session in progress” indicator appears under the button and also on the active session card.
Clicking End clock ends the current working session.
Session in progress
When an employee is clocked in, Pebb shows a session in progress.
This lets the employee and manager know that the work session has started but has not been completed yet.
The session card may show:
Date
Start time
A missing end time until the session ends
Session in progress label
This is useful for catching unfinished sessions and making sure employees remember to clock out.
Summary section
The Summary section gives a quick view of clock-in activity for the selected member and date range.
It includes:
Sessions
Shows how many clock-in sessions exist in the selected date range.
For example, if an employee clocked in three separate days during the selected week, the session count may show 3.
Total Time
Shows the total tracked work time for the selected date range.
For example:
0m
8h
24h 30m
This helps managers quickly understand how many hours a person worked.
Break Time
Shows the total break time recorded in the selected date range.
For example:
0m
30m
1h 15m
This is useful when managers need to separate working time from break time.
Member selector
The member selector lets managers choose which employee’s clock-in data they want to view.
Clicking the member name opens the Select member window.
The Select member window includes:
Search members
Managers can search for an employee by name.
This is useful in larger Spaces with many employees.
Member list
The list shows Space members, including their profile photo, name, and role.
For example:
Thomas Miller — Manager
Sarah Johnson — Operations Manager
James Chen — Team Lead
Maria Garcia — Coordinator
Alex Thompson — Team Member
Selected member checkmark
The currently selected member is highlighted and marked with a checkmark.
After selecting another member, the Clock In screen updates to show that person’s summary and session history.
This is helpful for managers reviewing employee time records one by one.
Date range selector
The date range selector controls which period is shown in the summary and session history.
For example:
May 1 – May 17
May 1 – May 17, 2026
May 11 – May 17
Managers can use this to review a specific week, payroll period, month, or custom date range.
Session history
Session history shows past clock-in sessions for the selected employee and date range.
Each session card can include:
Date
Start time
End time
Total time
Break time
Note
Status
Action buttons
For example:
Apr 29
12:00 PM – 08:00 PM
Total time: 8h
Break time: 30m
Regular workday
Or:
Apr 27
12:15 PM – 7:45 PM
Total time: 7h 30m
Break time: 15m
Short day
This gives managers a simple record of when employees worked and how long each session lasted.
Session action buttons
Each session in the history can include action icons on the right side.
Session details / review
The hand icon opens or reviews the session details.
This is useful when a manager wants to inspect the full session, including break time, note, and location.
Edit session
The pencil icon lets a manager edit the session.
This is useful when an employee forgot to clock in, forgot to clock out, entered the wrong break time, or needs a manual correction.
Delete session
The trash icon deletes the session.
This should be used carefully, usually only when a session was created by mistake or is no longer valid.
Starting a clock session
When an employee clicks Start clock, Pebb opens the Start Clock window.
The Start Clock window can include location and photo options, depending on the Space settings.
Location
Location is marked as optional in the screen, but it may become more important when geolocation or branch validation is enabled.
The Location section includes:
Enter manually
This lets the employee type or search for a location manually.
Use this when the employee is working at a location that is not saved as a branch.
For example:
A construction worker clocking in from a temporary job site.
A field technician working at a customer location.
A delivery team member starting from a warehouse parking area.
Select branch
This lets the employee choose a saved branch location.
For example:
Main Office
NY Store
Boston Branch
Warehouse 2
Hotel Lobby
Restaurant Downtown
This is the better option when employees regularly clock in from known company locations.
Enable geolocation
The Enable geolocation link lets the employee allow Pebb to access their device location.
This can help capture the GPS location when the session starts.
On mobile, this is especially useful for field teams, construction workers, retail branches, and hotel staff who clock in from physical locations.
Branch dropdown
When Select branch is selected, the employee can choose a branch from the dropdown.
For example:
Main Office
This tells Pebb which saved location should be connected to the clock-in session.
Photo
The Start Clock window may include an optional Photo section.
Upload photo
Employees can upload a photo when starting a session.
This can be useful when a company wants extra proof or context around the start of work.
For example:
A cleaning employee can upload a before photo of a location.
A construction worker can upload a photo from the site.
A merchandiser can upload a store display photo.
A maintenance worker can upload a photo before starting a repair.
Because the photo field is optional, teams can use it only when it fits their workflow.
Cancel
Closes the Start Clock window without starting a session.
Start clock
Starts the clock-in session.
Once started, the employee is considered clocked in, and the main button changes to End clock.
Ending a clock session
When an employee ends a clock session, Pebb opens the Session details window.
This allows the employee or manager to review the session before submitting it.
The Session details window includes:
Session time
This section shows the session’s start time, end time, and total time.
For example:
Start time: 02:34 PM
End time: 02:34 PM
Total time: 1m
Pebb also explains that the session can be edited later to modify the start and end times.
This is useful when someone made a mistake, forgot to clock out, or needs an admin to correct the record.
Break minutes
The Break field lets the user enter break time in minutes.
For example:
1
10
15
30
45
60
Break time is separated from total session time in the reports and summary.
This helps companies calculate work time more accurately.
Note
The Note field lets the employee or manager add context.
Examples:
“Forgot to clock in so filling it manually.”
“Regular workday.”
“Short day.”
“Worked at customer site.”
“Stayed late for closing.”
“Left early with manager approval.”
“Inventory count after shift.”
Notes are helpful for managers reviewing timesheets later.
Location
The Location section lets the user add or confirm where the session happened.
It includes:
Enter manually
Select branch
Location search
Branch selector
This helps keep the session connected to the correct workplace, branch, job site, or manual location.
Cancel
Closes the window without submitting the final session changes.
Submit session
Submits the completed session.
After submission, the session appears in the session history.
Creating a session manually
Managers can create a session manually by clicking Create session.
This is useful when an employee forgot to clock in, forgot to clock out, had a device issue, or worked during a period that needs to be added after the fact.
The Create session window includes:
Start time
The start time includes:
Start date
Start hour and minute
For example:
5/17/26
14:35
End time
The end time includes:
End date
End hour and minute
For example:
5/17/26
15:35
Total time
Pebb calculates the total session time automatically based on the start and end time.
For example:
Total time: 1h
Break minutes
The manager can add break time in minutes.
For example:
10
This means the employee had a 10-minute break during the session.
Note
The note explains why the manual session was created or adds useful context.
Example:
“Forgot to clock in so filling it manually.”
Adding a note is a good practice when sessions are created manually, because it helps keep the record clear.
Location
The location can be entered manually or selected from a saved branch.
Enter manually
Use this when the session happened somewhere that is not saved as a branch.
Select branch
Use this when the session belongs to a known branch, such as Main Office, NY Store, or Warehouse 2.
Cancel
Closes the window without creating the session.
Create session
Creates the manual session and adds it to the employee’s session history.
Clockin Settings
The Clockin Settings window controls how location tracking and location validation work.
Managers can access it from the settings icon near the Clock In feature.
Geo Location
The Geo Location toggle captures GPS location when members start and end sessions.
When enabled, Pebb can record where the employee was when they started and ended the clock-in session.
This is useful for teams that need more reliable time tracking.
For example:
A construction company can see whether workers started their day from the job site.
A retail company can confirm employees clocked in from the store.
A hotel can track whether staff started from the right property.
A field service company can record the location of mobile workers.
Validate clockin location
The Validate clockin location toggle requires members to be near a branch location to start a session.
When enabled, employees must be physically near the selected branch location before they can clock in.
This helps prevent employees from clocking in when they are not actually at work.
For example, an employee assigned to the Main Office may need to be close to the Main Office location before starting the clock.
Branch selector
The branch dropdown lets managers choose which branch location they want to configure.
For example:
Main Office
Edit branch
The pencil icon lets managers edit the selected branch location.
This is useful when the branch address is wrong, missing, or needs to be updated.
Add branch
The plus icon lets managers add a new branch location.
This is useful for companies with multiple sites, stores, restaurants, offices, warehouses, or job locations.
Branch address field
If a branch does not have an address, Pebb shows a message:
“This branch needs an address for location validation.”
The manager can enter the branch address in the address field.
For example:
New York Pizza Factory, 11143 Lee Hwy
Save
The Save button saves the branch address and location validation setup.
Timesheets report
The Timesheets report button lets managers download employee clock-in data for a selected date range.
This is useful for payroll, admin review, labor tracking, and attendance records.
The Download Timesheets Report window includes:
Start date
The first date included in the report.
For example:
5/1/26
End date
The last date included in the report.
For example:
5/17/26
Report target
This controls whose timesheets are included in the report.
For example:
All space members
This lets managers download time records for everyone in the Space, rather than only one employee.
Report type
This controls what kind of report is downloaded.
For example:
Summary report
A summary report gives a cleaner overview of time worked during the selected period.
Cancel
Closes the report window without downloading.
Download
Downloads the timesheet report.
Managers can use the report for payroll preparation, internal review, or record keeping.
Sending or sharing timesheets
The main Clock In screen also includes a small paper-plane style button near the Timesheets report button.
This action is used for sending or sharing clock-in related information, depending on the workflow available in the Space.
It gives managers another way to move time tracking information out of the Clock In screen when needed.
Clock In permissions
Pebb allows admins to control who can view, edit, and manage clock-in sessions inside each Space.
Inside the Space feature settings, admins can enable or disable Clock In and configure permissions.
Clock In toggle
This turns the Clock In feature on or off inside the Space.
When enabled, members of the Space can use time tracking sessions according to the permissions set by admins.
Use default permissions
When this is selected, Pebb uses the default permission setup for the Space.
If admins want more control, they can turn this off and customize the permissions manually.
View everyone’s sessions
This controls who can view clock-in sessions for all members in the Space.
Options can include:
Everyone
Admins & Managers
Admins Only
For example, a company may allow only admins and managers to view everyone’s time records, while regular employees can only view their own sessions.
Edit/delete sessions
This controls who can edit or delete clock-in sessions.
Options can include:
Everyone
Admins & Managers
Admins Only
Some teams may allow employees to edit their own sessions. Others may want only managers to correct or delete sessions to keep time records controlled.
For most companies, editing and deleting sessions should be limited to admins and managers.
Common use cases
Retail stores
A retail store can use Clock In to track when employees start and end their workday.
Store employees can clock in from the mobile app when they arrive at the branch. Managers can validate the location to make sure team members are clocking in from the store.
Example:
A cashier arrives at the NY Store, opens Pebb, selects the branch, and taps Start clock. At the end of the day, they tap End clock, add a 30-minute break, and submit the session.
Restaurants
Restaurants can use Clock In to track kitchen staff, servers, hosts, bartenders, and cleaning teams.
Because restaurant hours can change quickly, manual session creation and editing are helpful when someone forgets to clock in during a rush.
Example:
A waiter forgot to clock in before the dinner shift. The manager creates a manual session from 5:00 PM to 11:00 PM, adds a 20-minute break, and writes a note explaining the correction.
Hotels
Hotels can use Clock In across departments such as Housekeeping, Front Desk, Maintenance, Security, and Food & Beverage.
Each department can have its own Space, or the hotel can create one Space per location.
Example:
A housekeeper clocks in from the hotel branch using the mobile app. The manager later downloads a timesheet report for all housekeeping team members for the payroll period.
Construction companies
Construction teams can use Clock In to track work by job site.
Geolocation and branch validation are especially useful here, because workers may need to start their session only when they are near the correct site.
Example:
A site worker arrives at Project Site A, enables geolocation, selects the branch, and starts the clock. The manager can later review the session location and total time worked.
Warehouses
Warehouses can use Clock In for loading teams, forklift operators, inventory counters, and night shift workers.
Managers can review total time, break time, and sessions by employee.
Example:
A warehouse employee clocks in for a 2 PM–10 PM shift. At the end of the shift, they submit a 30-minute break. The manager downloads the weekly timesheet report for all warehouse staff.
Field teams and service workers
Field teams can use Clock In when employees work outside a fixed office.
Employees can enter a location manually or use geolocation when starting a session.
Example:
A technician starts the day at a customer site, enters the location manually, uploads a photo, and starts the clock. At the end of the visit, they submit the session with a note.
Best practices for using Clock In
Enable Clock In inside the right Space, so each team, branch, or job site has its own clean time records.
Create Spaces by location when employees clock in from different branches.
Use geolocation if location accuracy matters.
Use location validation if employees must be physically near a branch to start a session.
Make sure every branch has a correct address before enabling location validation.
Encourage employees to use the mobile app for quick clock-in and clock-out from the field.
Ask employees to add notes when something unusual happens, such as forgetting to clock in or leaving early.
Use manual sessions only when needed, and always add a note explaining why.
Limit edit and delete permissions to admins and managers if time records need tighter control.
Download timesheet reports regularly for payroll or operations review.
Review session history before payroll to catch missing end times, incorrect breaks, or unusual sessions.
Why teams use Clock In in Pebb
Clock In gives companies a simple way to track employee working time without adding another separate tool.
Employees can start and end sessions from Pebb on web or mobile. Managers can review time history, add manual sessions, edit records, track break time, capture locations, validate branch clock-ins, and download timesheet reports.
Because Clock In lives inside Spaces, it works naturally for companies with multiple branches, teams, departments, job sites, or locations.
For frontline teams, field teams, and office teams working together, Clock In helps keep time tracking clear, simple, and connected to the rest of the work happening in Pebb.
