Workspace Setup Guide (Before & After Team Onboarding)

To help ensure a smooth and engaging onboarding experience for your team, we recommend going through the following steps before sending invites:

1. Fill the Platform with Content

Before your team joins, take a few minutes to add helpful content across the platform. Create a few clubs—both public and private—for common topics (like “Team Leads” or “Project A”) or social interests. You can also create a private club just for managers to coordinate internally.

In each club, publish a pinned post with important info, upload some relevant files, documents, or images to set the tone. For example:

• Project templates

• Team calendars

• Helpful links or guides

• Photos from past events

Then, head to the Knowledge Library and upload essential company-wide documents—things like internal policies, onboarding guides, or forms employees use frequently. This gives new members something valuable to explore right away and shows that Pebb is already part of your company workflow.


2. Set Up Departments & Branches

Head to your Account Settings and define your organization’s departments and branches. This allows new members to select the right team during onboarding, making it easier to organize communication later.

While creating departments, you can choose to automatically generate a club for each one. This ensures that every team member is added to the correct club right from the start, keeping team-specific discussions organized from day one.


3. Turn On Email Notifications (Optional)

Admins can enable email notifications by default for new users in Settings. By default, notifications are off—so switch this on if you want team members to start receiving updates immediately.


4. Review Permissions & User Roles

Go to Settings > Permissions to control who can post in the Everyone feed, create clubs, or manage features.

You can also manage individual user roles (admin, manager, member) in the Members tab by clicking the three dots next to their name.


5. Post a Welcome Message in the Everyone Feed

Create a quick welcome post to guide the team. Suggested topics:

• What Pebb is used for

• What “Clubs” are (e.g., “Clubs = Group Spaces”)

• How to get started

• Tips for communication norms and fun club ideas

Encourage the creation of social clubs too—like “Pet Photos,” “Fun Work Stories,” or “After Work Plans”—to spark engagement and company culture.


6. Share an Announcement Message Internally

Before inviting everyone, send an announcement via your current communication tool or email. Include:

• The Pebb invite link (found at the top-right of your account)

• A short note asking users to complete their profile (photo, title, department, etc.)

• A reminder they can reach out via in-app support chat for help

• A backup method: If the link doesn’t work, they can signup right from the website pebb.io or download the app and signup, then choose Join Existing Organization, and paste the invite link.

7. Follow-Up Post (3–5 Days Later)

After everyone’s joined, post a check-in message asking how things are going. Encourage questions, feedback, and ideas.

This is a great moment to suggest creating more clubs and group chats—for example, a “Team Wins” club, “Daily News” chat, or a “Tips & Tools” club.
